Computerko Limited is committed to using AI and automation in a controlled, responsible, secure, and accountable manner.
This AI & Automation Governance Policy explains how Computerko Limited governs the use of AI-assisted and automated processes across its business and services, the limits that apply to such use, the role of human oversight, and the relationship between AI use and Computerko Limited’s privacy, security, and service obligations.

This website and the goods and services made available through it are intended for business use only.

1. Who we are

Computerko Limited is a company registered in England and Wales.
2. Purpose of this policy
The purpose of this policy is to define the governance framework for the use of AI and automation by Computerko Limited.
Registered office: 27 Old Gloucester Street, London, WC1N 3AX, United KingdomContact email: support@computerko.co.uk

This includes ensuring that AI and automation are used:

  • lawfully;
  • responsibly;
  • securely;
  • proportionately;
  • with appropriate oversight;
  • in a way that protects customers, systems, services, and information; and
  • in a way that supports accountability, transparency, and ongoing review.

This policy is a governance document. It does not replace any contract, Privacy Policy, GDPR / Data Protection Policy, Information Security Policy, Support Policy, or any service-specific terms.

3. Scope

This policy applies to AI-assisted and automation-assisted activity carried out by or on behalf of Computerko Limited in connection with its business operations and services.

This may include the use of AI or automation in areas such as:

  • infrastructure monitoring;
  • operational automation;
  • service optimisation;
  • workflow support;
  • triage and routing;
  • pattern recognition;
  • administrative efficiency;
  • system performance analysis;
  • service diagnostics;
  • security-supporting operational processes; and
  • other internal or service-supporting functions.

This policy applies to:

  • directors;
  • employees;
  • contractors;
  • consultants;
  • temporary staff; and

third parties acting on behalf of Computerko Limited where AI or automation is used in connection with Computerko Limited’s services or operations.
4. Core policy position
Computerko Limited’s standard position is that AI and automation may be used at a:
computational level;
infrastructure level;
operational level;
system level; and
workflow or service-efficiency level.
Computerko Limited does not use identifiable personal data to train AI models as part of its standard operations.

AI and automation are used to support operations, service efficiency, monitoring, and controlled decision-support functions, and not to remove human responsibility or accountability.

5. Human oversight

Computerko Limited maintains human oversight over AI-assisted and automated processes where appropriate to the nature, risk, and purpose of the activity.
This means:

  • AI-assisted outputs are not treated as automatically authoritative without review where review is appropriate;
  • staff remain responsible for reviewing, validating, approving, rejecting, or escalating AI-assisted outputs where necessary;
  • AI may support analysis, routing, summarisation, optimisation, monitoring, or other operational tasks, but does not remove management or operational accountability; and
  • decisions with legal, contractual, security, customer, or operational significance should remain subject to appropriate human judgment and control.

6. Data boundary

Computerko Limited’s standard position is that AI and automation are not used to train models on identifiable personal data.
Computerko Limited will not, as a matter of standard business practice:

  • use identifiable personal data to train AI models;
  • use customer personal data for AI model training without an appropriate lawful basis and clear governance process;
  • introduce AI processing involving personal data in a way that bypasses privacy, security, or governance review; or
  • assume that an automated process is exempt from privacy, confidentiality, contractual, or security obligations.

Where personal data may be involved in an AI-assisted or automation-assisted process, such use must be assessed and handled consistently with applicable privacy, security, legal, and contractual requirements.

7. Governance and accountability

AI and automation use within Computerko Limited must remain subject to governance and accountability.
This includes the principles that:

  • AI use should have a legitimate business or service purpose;
  • responsibilities for use, review, oversight, and approval should be clear;
  • materially new or changed AI use cases should be reviewed before operational use where appropriate;
  • AI use should be documented or identifiable to a degree appropriate to the use case and level of risk;

AI use should remain consistent with Computerko Limited’s legal, privacy, security, and operational obligations; and

  • AI-assisted processes should be capable of review, control, and adjustment as needed.

8. Lawful, fair, and responsible use

Computerko Limited will seek to ensure that AI and automation are used in a way that is:
lawful;
fair;
proportionate;
consistent with customer trust;
not misleading;

  • not deployed in a manner that creates unmanaged or unnecessary risk; and
  • aligned with the actual purpose for which the process is being used.

Computerko Limited will not knowingly use AI or automation in a way that is inconsistent with applicable law, contract, privacy obligations, or reasonable service expectations.
9. Transparency
Where AI or automation is used in Computerko Limited’s operations or service delivery, Computerko Limited will seek to maintain appropriate transparency consistent with:
the nature of the process;
the sensitivity of the activity;
the operational or service context; and
legal or contractual requirements.
Computerko Limited does not seek to present AI-assisted activity as purely human activity where doing so would be misleading in a material way.
This policy, together with related privacy, security, and service documentation, forms part of Computerko Limited’s transparency framework regarding AI and automation use.
10. Security and safe operation
AI and automation must be used in a way that supports, and does not undermine, Computerko Limited’s security and operational controls.
This includes the principles that:

  • AI use must not weaken confidentiality, integrity, or availability protections;
  • confidential, customer, or sensitive information must not be exposed to AI tools or automated processes inappropriately;
  • AI-enabled tools and workflows must be used in a manner consistent with security expectations;
  • access to AI or automation functions should be controlled where appropriate; and
  • AI use should be reviewed where it may create operational, privacy, contractual, or security risk.

11. Prohibited or restricted use

Unless expressly approved under an appropriate governance process, Computerko Limited prohibits or restricts the following:

  • training AI models on identifiable personal data as part of standard operations;
  • uploading confidential, customer, regulated, or sensitive information into AI tools without authority and appropriate safeguards;
  • relying on AI outputs in a fully unsupervised way for high-impact operational, contractual, legal, or security decisions;
  • using AI in a way that bypasses normal review, approval, support, or security controls;
  • using AI to mislead customers, suppliers, staff, or users;
  • using AI in any manner inconsistent with law, policy, contract, or reasonable standards of responsible operation; and
  • introducing materially new AI uses without appropriate internal consideration where risk, privacy, security, or customer impact may arise.

12. Relationship with customers and services

Where AI or automation is used in connection with service delivery, Computerko Limited will seek to ensure that such use remains:
relevant to the service purpose;
proportionate to the activity involved;

  • consistent with customer expectations and contractual boundaries;
  • subject to operational control; and
  • aligned with privacy, data protection, and security requirements.

Computerko Limited does not, by this policy, create any promise that all service activities will always be performed without any automation. Equally, this policy confirms that AI and automation are not used without governance, limits, and oversight.
13. Review and lifecycle control
Computerko Limited recognises that AI and automation technologies, risks, expectations, and regulatory guidance continue to evolve.
Accordingly:
AI and automation use is kept under review;

  • new use cases may require reassessment before implementation;
  • controls may be adapted where risk, law, technology, or customer impact changes;
  • governance measures may be updated over time; and
  • this policy will be reviewed periodically and revised where appropriate.

14. Relationship with other documents

This AI & Automation Governance Policy should be read together with other applicable Computerko Limited documents, including:

  • Privacy Policy, which explains how personal data is collected, used, and shared;
  • GDPR / Data Protection Policy, which explains broader data protection governance;
  • Information Security Policy, which explains security governance and controls;
  • Acceptable Use Policy, which governs lawful and appropriate service use;
  • Support Policy, which explains support operations and service handling;

  • any relevant contract, service schedule, quotation, SLA, or service-specific terms.

If there is any conflict between this policy and a specific signed agreement or applicable contractual document, the relevant contractual document shall take precedence to the extent of that conflict.

15. Changes to this policy

Computerko Limited may update this policy from time to time to reflect:
changes in law or regulation;
changes in guidance;
changes in technology;
changes in business operations;
changes in risk profile; or

  • lessons learned from review, implementation, or operational experience.

Any updated version will be published with a revised date.
