IT budgets for small businesses are rarely generous. There is always something more pressing competing for the same money, and IT investment can feel like it disappears into a black hole of subscriptions and hardware that becomes outdated faster than expected.
But managing IT well on a limited budget is very much possible. Here is what actually makes a difference.
Prioritise Security First
If you have a limited IT budget, the worst place to cut corners is security. The cost of a data breach, ransomware attack or compliance failure vastly outweighs the cost of basic preventative measures. Multi-factor authentication, automatic updates and a good backup strategy cost very little and protect against the majority of common threats.
For businesses in London and Essex handling personal data under GDPR, a security incident can also result in regulatory fines and reputational damage that dwarf any savings made by skimping on security measures.
Refurbished Equipment
Certified refurbished IT equipment is one of the most effective ways to stretch an IT budget. A refurbished business laptop from a reputable supplier can be 40 to 60 percent cheaper than the equivalent new machine, and for many business workloads the performance difference is negligible.
The key is buying certified refurbished from a supplier who tests and warrants the equipment. We supply certified refurbished IT equipment to businesses across London and the South East, all with a minimum two-year warranty.
Standardise Your Equipment
Running a mix of different laptop models, operating system versions and software configurations is expensive to support. Every variation adds complexity and support time. Standardising on one or two device models and a consistent software configuration reduces IT support costs significantly.
When you buy the same model in bulk, you also get better pricing and have spare parts and spare units available when things go wrong.
Cloud Subscriptions vs Upfront Purchases
Microsoft 365 Business Basic starts at just a few pounds per user per month and includes email, Teams, SharePoint and Office web apps. For small businesses that do not need the full desktop Office suite, this is exceptional value. Moving from perpetual licences to Microsoft 365 subscriptions often reduces total software costs while adding functionality.
Negotiate Warranties
Warranty costs are often negotiable, particularly on volume purchases. A next-business-day on-site warranty is worth the extra cost for servers and critical infrastructure. For standard workstations, a return-to-base warranty is usually adequate and significantly cheaper.
All equipment we supply at Computerko comes with at least a two-year warranty as standard, which is above the typical one-year standard on most retail purchases.
Plan Replacement Cycles
Reactive IT purchasing, replacing equipment only when it fails, is always more expensive than planned replacement. A rolling replacement programme, replacing perhaps a quarter of your devices each year, spreads cost evenly and means you are never caught with a fleet of ageing, unreliable machines all needing replacement at once.
A typical business laptop lifecycle is three to four years. Servers tend to last five to seven years with appropriate maintenance.
Get Multiple Quotes
IT pricing varies considerably between suppliers. For significant purchases, getting two or three quotes is always worthwhile. We are happy to quote against any specification and can often match or beat high-street and online pricing, particularly for volume purchases.
