Computerko Limited – Your IT Depot

Most small businesses buy IT reactively. Something fails, someone complains it is too slow, or a new member of staff joins and needs a laptop. Equipment gets ordered in a hurry, often at full retail price, and the decision is made under time pressure with limited comparison shopping.

A proper IT procurement strategy removes the chaos, saves money and means your IT estate is planned and consistent. Here is how to build one.

Start with an IT Asset Register

Before you can plan purchases, you need to know what you have. An IT asset register is simply a list of every device in your business: model, serial number, age, assigned user, and current condition. This sounds boring, but it is genuinely valuable.

With an asset register, you can see which devices are approaching end of life, plan replacements in advance rather than reacting to failures, and justify IT budget requests to finance with actual data rather than guesswork.

Define Your Standard Configurations

Rather than choosing different equipment for every purchase, define two or three standard configurations for your most common use cases. A standard office laptop specification, a developer specification for more demanding workloads, and an office desktop specification, for example.

Standardisation reduces support complexity, allows bulk purchasing, and means you always have spare units or spare parts available. It also simplifies onboarding when new staff join.

Build Supplier Relationships

Working with a regular IT supplier rather than buying from different sources each time gives you access to better pricing, consistent warranty support, and a supplier who understands your business requirements. It also means you have a relationship in place when something urgent needs sourcing.

We work with many businesses across London, Essex, Surrey and Hertfordshire on an ongoing basis. Volume purchasing across multiple orders over time delivers better pricing than one-off purchases, and we can advise proactively when equipment we know you use is on promotion or approaching end of life.

Budget Planning

With an asset register and a replacement cycle in mind, you can forecast IT spend accurately. Plan for a rolling replacement of roughly a quarter of your device fleet each year. Budget separately for infrastructure components like servers and networking equipment which have longer lifecycles. And maintain a contingency budget for unexpected failures.

Total Cost of Ownership

When evaluating equipment options, look beyond the purchase price. Factor in warranty costs, expected lifespan, energy consumption, and support complexity. A cheaper device with a one-year warranty that needs replacing after two years is often more expensive than a better-specified device with a three-year warranty that runs reliably for four years.

Review and Adjust

Review your IT procurement strategy annually. Business requirements change, technology evolves, and what worked two years ago may not be the best approach today. An annual review with your IT supplier is a good way to stay ahead of changes and take advantage of new options.
